Introduction
YFM is a "Youth" radio station in Johannesburg, South Africa. Established in 1997, the station is formatted to mostly play urban music genres such as Kwaito, Hip Hop, and R&B along with a minority of its airtime being dedicated to talk shows.

Reporting to the Sales Manager.

YFM Jnr Sales and On-Air Coordinator will be responsible for managing all administration and providing all sales support required within the Sales department. This will include liaising closely and building a good, professional, positive relationship with advertisers/agencies, AE/s, finance, programming, production and Traffic. The main objective will be to ensure work flow between sales and various stakeholders internal and external.

1.Establish and build relationships with all stakeholders.
2.Ensure work flow processes are adhered to and facilitated.
3.Manage all sales administration tasks and ensure timeous delivery.

Key Performance Indicators:
•Assist the sales team with client & internal meetings. Ensuring beverages, snacks, etc. are setup.
•Assisting the sales team with reporting.
•Assistance with Calendar Management for the Sales Team and Head of Sales.
•Take control of small and major on air-promotions Competitions, Features, Sponsorships, Interviews, Power spots by being the physical link with sales, Programming, Production, digital and Traffic departments on small and major station promotions and competitions.
•Monitor the actual implementation and execution of campaigns on air and intervening to ensure client objectives are being met.
•Provide the programming manager and sales manager supervisor with debriefs on the execution of on-air briefs, Competitions, Features, Sponsorships, Interviews, Power spots .
•Gather the necessary information from AE’s for the drafting of competition, trade exchange and sponsorship agreements and ensure that the documentation is signed off by all relevant parties.
•Brief all presenters prior to the execution of competitions, verbally and confirming in writing with final briefing form attached & sending it to the relevant DJ’s, producer and internal sales supervisor.
•Be in the live broadcasting studio during campaigns to ensure scheduled executions.
•Obtain list of winners from various producers and list in an excel spreadsheet format.
•Notify all competition winners making them aware of all criteria related to the collection of prizes. To be tracked daily on an excel spreadsheet.
•Do a cheque requisition for all cash winners.
•Take delivery of all prizes together with a finance employee or sales rep., saving all relevant delivery notes and filing.
•Keep documented proofs of all prizes received by competition winners, updating spreadsheets daily and providing a copy to the internal sales supervisor weekly.
•Attend all sales, marketing and outside broadcasting briefing meetings, to take minutes so as to brief programming manager, sales manager, internal sales supervisor and AE.
•Ensure that the on-air personnel are sufficiently briefed on on-air commercial properties, outside broadcasts, client appearances, live reads and crossings as well as station events by filling out the briefing form and getting signatures of the relevant members of staff.
•Execute any other reasonable tasks associated with the job.
•Obtaining exact times for AE’s and coordinators on Competitions, Features, Sponsorships, Interviews, Power spots and giving it through to them before it gets booked in the system.
•Following up and providing the log editors with necessary scripts/briefs/live reads and necessary guidelines of what needs to be placed in the RCS logs for dj’s, with Campaign, order number, flighting code/s, hex number/s and exact times.
•Managing the Sales Calendar for Competitions, Features, Sponsorships, Interviews, Power spots with Campaign/Order #/Exact times/Mechanics on execution/Flighting codes/Hex numbers. Updating this information on a daily basis as info as it becomes available or gets revised.
•Tracking competition agreements, delivery of prizes as well as prize money and ensuring that everything is in the system and in the company’s possession before executing - checklist. Reporting back to sales supervisor 24 hours before execution of competitions, features, sponsorships, Interview, Power spots if any of it is not in the possession of the company.
•Assist and updating features lists of all shows on a regular basis.
•Updating Competitions, Sponsorships, Features grid on a monthly basis and submitting it to sales manager
•Create scripts for on air promotions when the need arises.
•Receive campaign briefs from Account Executives and create sales proposals from such briefs.
•Compile Post Campaign Analysis (PCA’s) with the assistance of the Research Co-ordinator.
•Perform any other task assigned to you by the Head of Sales and/or any other authorised person.

Requirements
Education: Matric and relevant sales diploma and/or degree would be preferred.
Languages: Business English
Experience: A minimum of 1 years’ experience in a Radio Broadcast environment and/or in similar role. At least 1 years’ experience with drafting of contracts/agreements

•Must be available 24/7 – this position requires individual to attend events after hours, weekends and public holidays as and when requested. Working hours will vary according to business requirements.
